The first two minutes: why reply handling decides the meeting
Interested buyers go cold fast. How we classify every reply, answer positives in under two minutes and keep not-now replies alive.
A positive reply is the most valuable thing a campaign produces, and the easiest to waste. If a VP writes back “interested, can you do Tuesday?” and hears nothing until the next afternoon, the moment has often passed.
Classify every reply
Every reply is timestamped and sorted into a small set of categories: meeting request, interested, question, not now, wrong person, unsubscribe and automated. Classification decides the next action, so it has to be fast and consistent.
Answer positives in under two minutes
Positive replies get a first response within two minutes, any time of day, with a booking link and a direct answer to whatever they asked. A person from our reply desk is on the thread within fifteen minutes during shift hours, 09:00 to 01:00 IST.
Do not drop the not-nows
“Not right now, try us next quarter” is a future meeting if someone remembers to follow up. Those replies go into a nurture lane with a date attached, so the follow-up happens when they asked for it.
Close the loop in the CRM
Booked calls go straight onto your calendar and into your CRM with the thread attached, so the person taking the call knows exactly what was said. After the call, tell us which meetings were good. That feedback is what sharpens the next list.
